Calendar and Zoom Bridge Management Suggestion 1


Zoom Bridge Overview

The LF provides 12 Zoom meeting accounts for the ONAP community, onapmeet1 through onapmeet12, (usually just refered to by ONAP#).  ONAP1 is a special account reserved to very large meetings.  the ONAP12 is the TSC Chair's account to be used as required.  All of the Zoom accounts are administered by the LF team, but usage is ultimately managed by the community.

Suggestion

Referring to Calendar Decision Table, this suggestion is a lower-level detailed refinement of the "groups.io" column, intended to help address the "things you need to know" caveats mentioned in Calendar and Bridge FAQ.

  • Create one mailing list in groups.io for each Zoom meeting account, i.e. zoom-meeting-onap1, zoom-meeting-onap2, ..., zoom-meeting-onap12.
  • Create moderators for each zoom-meeting list
  • All of the meetings created for each Zoom meeting account should be collated into the corresponding zoom-meeting list
    • This will make it easy to see that there are buffers around the scheduled meetings to avoid conflicts
    • This will also make it easy to see if any Zoom meeting accounts are being overused with too many meetings
    • The number of zoom-meeting lists changes independently of the number of email discussion lists (e.g. per ONAP project)
  • Disadvantages:
    • zoom-meeting list is disconnected from the email discussion list
    • ONAP project teams will have more subscriptions to email lists and calendars
